- Space Assignments
The following rules and regulations governing the exhibit under the auspices of the ACCV 2016 Conference are part of the application for space and constitute a contract between the Exhibitor and the Conference. They have been formulated in the best interest of the Exhibitor and full cooperation of the Exhibitor in their observance is asked. Any detail not specified is subject to decision by the Organizing Committee of the Conference. Exhibit space will be assigned based on the date the expression of interest is received, i.e. first-come-first-served basis.
1.1 Space Selection — The Exhibitor agrees to accept the space assigned. The application, along with full payment for space, should be submitted by Sunday 29th September 2013. The Conference reserves the right to modify the designated exhibit space in the event a change in the original assignment is necessary. The acceptance of these terms and conditions along with the full payment for space rental charges constitute a contract.
1.2 Rental Fees — Space will be charged at $1,500.00 USD exclusive of Goods and Services Tax (GST) of 10% per Exhibition Table. The Exhibition Table dimensions are 1800mm (L) x 750mm (D) x 730mm (H). The Conference will furnish the Exhibition Table, two chairs and one electrical switchboard with 1 Australian standard 230V power plug. Exhibitors are responsible for any other requirement needed, including extra power, flat screens, shipping, etc. Wireless internet access will be available on-site, but the conference cannot be responsible for signal strength or other aspects of the wireless connection.
1.3 Terms of Payment — No application will be processed without remittance of full payment. Payment may be made using instructions on the registration payment page. Subletting of exhibit space is not permitted.
1.4 Cancellations — In case of cancellation of the exhibit space, the total amount paid will be deemed to be a cancellation fee.
1.5 Failure to Occupy Space — Any Exhibitor failing to occupy space is not relieved of the obligation to pay full rental price for the exhibit space. The Conference shall have the right to use exhibit space as it sees fit, provided the space is not occupied by the scheduled exhibitor at the time the main Conference opens unless prior alternative arrangements have been agreed upon.
1.6 Badges and Staffing — Each exhibiting company will receive 2 Exhibitor passes. Exhibitor passes include access to the Exhibition and breaks. Additional full registrations may be purchased at the normal price through the on-line registration form. Exhibits must be staffed during show hours. The Conference exhibits will be on during the main conference (Nov. 20 – 24, 2016). For hours, see the program at http://184.108.40.206/accv2016/. Please note that you will be in violation of regulations if the exhibit is not staffed. Identification badges may be picked up at the registration desk. Badge exchange between exhibitor representatives is not permitted.
- Operation of Exhibits.
The management reserves the right to restrict exhibits which, because of sound, method of operation, materials, content, health and safety or any other reason are deemed objectionable. The management also reserves the right to prohibit or evict any exhibit as a whole. Exhibits must be arranged so as not to obstruct the view or otherwise interfere with the displays of other Exhibitors, Demonstrators or Presenters. This restriction includes person(s), object(s), conduct, printed material, noise, or anything of a character which may be objectionable to the exhibit as a whole. In the event of such restriction or eviction, ACCV is not liable for any refunds, rentals or other exhibit expenses.
- Contractual Considerations
3.1 Violations — As a condition for exhibiting, each Exhibitor shall agree to observe all relevant policies. Violators may not be eligible to exhibit at future ACCV Conference meetings.
3.2 Insurance — Insurance on all exhibits is the responsibility of the Exhibitor. ACCV will not assume any responsibility for property loss or damage. ACCV will not accept any public liability claims, as stated in the section on Limitation of Liability. Exhibitors are advised and encouraged to carry insurance to cover their property against damage and loss and public liability insurance for claims of injury to the person and property of others.
3.3 Limitation of Liability — The Exhibitors agree with the ACCV that the ACCV shall not be liable for any damage or liability of any kind or for any damage or injury to persons or property during the term of this agreement, from any cause whatsoever by reason of use, occupation and enjoyment of exhibit space, the Exhibitors or any person thereon with the consent of the Exhibitors. The Exhibitors also agree to hold harmless to ACCV from all liability whatsoever, on account of such damage, or injury, whether or not caused by negligence of or breach of an obligation by the Exhibitors, its associates, employees or representatives.
